Warehouse Operations Supervisor

Procurement / Store-keeping / Supply Chain 

Reporting to the Warehouse Operations Manager, the job holder will be responsible for planning, coordinating and general administration of the warehouses, including the day-to-day supervision of staff

Responsibilities:

  • Maintaining general warehouse records through proper filing and capturing all details correctly on SAP system in real time.
  • Achieve high levels of customer satisfaction through excellence in receiving, identifying, dispatching, and assuring quality of goods.
  • Ensure all goods received at the warehouse are in good condition and delivered in the same state.
  • Maintaining proper storage conditions of client’s inventory in the warehouses and stores physical arrangement to ensure that it is adequate to facilitate easy picking and stock taking.
  • Maintaining and continuously improving standards of health and safety, hygiene and security in the work environment and ensuring compliance with all legal requirements from the government bodies.
  • Steering the implementation and continual compliance to the ISO 22000 and GMP in all food handling areas and ISO 9001:2015 in all warehouse operation areas.
  • Coordinate with finance and customer service on all payments prior to releasing goods from the warehouse.
  • Preparation of weekly inventory for all goods received and dispatched from the warehouse.
  • Maintain the facility in good order and condition in conjunction with procurement, Finance, QHSE and Security departments.
  • Ensure all customers handled have valid signed quotes and supporting documents of the goods stored at the warehouse at all times.
  • Responsible for overall administration activities in the warehouses and providing weekly status reports to the Warehouse Manager.
  • Maintain good working relationships with clients at all times and government bodies.
  • Ensure proper utilization of company equipment and drive associated costs to the lowest standards possible without compromising quality of standards.

Education, Professional Qualifications & Work experience

  • Bachelor’s Degree in in Warehouse Management, Supply Chain or equivalent.
  • Solid understanding of applicable Warehouse legislative requirements and documentation.
  • Minimum of 3 years’ experience in a similar role

CFS Documentation Supervisor

Logistics 

Job Purpose

Reporting to the Terminal Manager, the job holder will be responsible for Supervising and coordinating daily activities of the documentation staff within the department, ensuring accuracy of the information in accordance with established documentation procedures.

Responsibilities:

  • Supervise and coordinate daily activities of employees handling cargo documents and related reports.
  • Analyze and review vessel schedules with a view to plan for work activities.
  • Ensure that all work documents for specific vessels are ready on time so that there are no demurrages incurred as a result of late documentation.
  • Ensure that the codes and tariffs used in the CFS systems are as per approved terms.
  • Examines reports and documents for completeness and accuracy and gives instructions to staff regarding corrections. Ensure that reports are printed and filed for future reference.
  • Correspond and where required have meetings with clients, shipping lines and all other stakeholders relating to documentation and reports and resolve any problems that may arise.
  • Ensure good working practices and ethics at the documentation office.
  • Prepare contingency plans to deal with any unexpected situation.
  • Planning and supervision of all documentation activities.
  • Ensure the Service Desk team work to SLA thresholds for incident(s), request(s) and problem(s), always maintaining the Service Level Indexes above the Service Level Objectives and reporting on the SLIs monthly.

Education, Professional Qualifications & Work experience

  • Bachelor’s degree in supply chain or business management.
  • A Diploma in Clearing & forwarding is a must have.
  • 3 years’ work experience in Logistics, warehousing and freight forwarding in a similar role.
  • Expert knowledge of national and international import/export legislation.

Strategy & Innovation Analyst

Data, Business Analysis and AI  , Finance / Accounting / Audit 

Job Purpose

Reporting to the Group Strategy & Innovation Manager, the job holder will be responsible for  analyzing business data, conducting market research, and collaborating with teams to drive the achievement of strategic actions and innovations. He/She will also be responsible for supporting the Group with business development activities.

Responsibilities:

  • Conduct in-depth market research and collect competitive intelligence to uncover emerging trends, customer needs, and opportunities in the industry.
  • Contribute to the development and implementation of strategies in the Group in collaboration with the Group Strategy & Innovation Manager.
  • Work closely with cross-functional teams, to ensure alignment and effective execution of strategic initiatives.
  • Support the Group Strategy & Innovation Manager in the management and execution of the innovation framework and plan.
  • Assess innovation ideas to determine their feasibility, potential business benefits and alignment with the overall strategic innovation plan.
  • Monitor the progress of major initiatives toward meeting goals and achieving benchmarks, analyzing data, ensuring follow-through on the part of key people, and sustaining momentum needed to drive initiatives through to completion and embedded practice.
  • Conduct sector and market reviews, locally and globally, to enable benchmarking, readiness for new business and build robust financial models and business cases to evaluate the potential return on investment (ROI) for new ventures and strategic initiatives.
  • Responsible for identifying the needs of business and determining the direction it needs to go in order to excel and succeed through analyzing, gathering and reviewing data and then creating relevant solutions to the company’s problems.
  • Prepare regular reports and presentations on market trends, competitive landscape, and strategic initiatives.
  • Collaborate with external partners, key leaders & team members, subject matter experts, marketing, legal and any other functional teams as necessary, to accomplish goals.
  • Update the HOD on a regular basis; on execution and progress on assigned tasks and any arising significant strategy and innovations.

Education, Professional Qualifications & Work experience

  • Bachelor’ Degree in Economics, Business, Finance, Math or equivalent from a recognized Institution
  • Professional Certifications such as CPA, ACCA, ACA, CFA or CIFA is highly desired.
  • Minimum of three years of experience in strategy and innovation roles or equivalent position.

Commercial Executives – Mombasa

Sales / Marketing / Retail / Business Development 

Reporting to the Commercial  Manager  the job holder will be responsible  for continuous attainment of the company revenue targets by securing new customers, maintaining, and developing existing accounts. Products include Customs Clearance, Warehousing, Transport, Distribution, Container Handling and Freight (Rail/Road/Sea/Air).

Responsibilities:

  • Deliver agreed revenue and objectives on a monthly, quarterly and annual basis, and achieve KPIs as per set targets.
  • Identify potential customers and relentlessly pursue realization of such opportunities leading to revenue for the company.
  • Negotiate with customers as per price guidelines applicable to the business units.
  • Maintain records of customer details / sales visits and keep management informed by submitting activity and results reports, such as daily reports, weekly work plans, and monthly and annual territory analysis.
  • Build and maintain relationships with customers through regular contacts and visits by adhering to the call program on all assigned and prospect customers.
  • Conduct business reviews to ensure customers are satisfied with Siginon products and services.
  • Support Customer Service and work closely with Operations and Documentation on the execution of customer service contracts.
  • Promote the services and products of all entities, and coordinate sales efforts with other department sales.
  • Provide weekly and monthly reports, data, research and market intelligence to the Commercial Manager, highlighting business performance, competitive landscape and recommendations
  • Track progress against revenue targets and provide weekly and monthly progress reports.
